You missed 2 weeks of tracking. Here is how to catch up
Do not rebuild the 2 weeks one purchase at a time. Start again today, enter the large payments from your bank exactly, and put the small ones in as one line per category per week.
A gap of 2 weeks is short enough to rebuild from your bank app. After a month or more, starting again from today and leaving the gap is the quicker way back.
The steps below work in a budgeting app, a spreadsheet, or a notebook. Where Skarb makes a step quicker, the article says how, but nothing here needs it. The example running through them is a real-sized gap: 41 card payments and 2 cash withdrawals over 14 days.
Step 1: log today first
Before you look back, enter what you spent today. The record is moving again from this moment, whatever happens to the catch-up. If you stop halfway through the next steps, today is still covered, and tomorrow starts clean.
Step 2: find the 2 weeks in your bank app
Open your bank or card app at the first day you missed. Note 3 things for the days from there to yesterday:
- How many card payments there were. In the example, 41.
- What they came to in total. Here, 612.40.
- Any cash you took out. Here, 2 withdrawals of 40.
Then gather everything else that holds a purchase: the receipts in your wallet, your bag, and your coat pockets, and the email receipts for anything you ordered online.
If you keep a spreadsheet, many banks let you download a statement as a file the spreadsheet can open. That saves typing dates and amounts by hand.
Step 3: enter the large payments one by one
Pick a line between large and small, such as 20. Everything above it goes in exactly, with its own date, category, and amount. There are few of these, and they carry most of the card spending.
In the example, 6 payments are over 20, and they come to 334.45, more than half of the card total:
| Date | What | Amount |
|---|---|---|
| 6 October | Weekly shop | 64.20 |
| 8 October | Energy bill | 72.00 |
| 10 October | Train to see family | 38.50 |
| 13 October | Weekly shop | 58.75 |
| 15 October | Dinner out | 46.00 |
| 17 October | Shoes | 55.00 |
- On paper or in a spreadsheet, give each one a row: the date, what it was, the category, and the amount.
- In Skarb, photograph a receipt or type one line, and the app fills in a draft with the amount, the date, and usually a category. Nothing is saved until you check it and tap Add. Scan the receipts for these payments one after another, and type the rest the way you would type
coffee 3.20 yesterday: what, how much, and when. Both need a connection, because the photo or the line goes to OpenAI to be read.
Step 4: group the small ones by week
Everything under your line goes in as one entry per category per week. Write down how many payments it covers, so you know later that it is a group: "Eating out, week of 6 October, 9 payments, 41.60".
| Line | How many | Amount |
|---|---|---|
| Eating out, week 1 | 9 | 41.60 |
| Eating out, week 2 | 7 | 33.10 |
| Groceries, week 1 | 5 | 48.35 |
| Groceries, week 2 | 6 | 61.90 |
| Transport, week 1 | 5 | 51.20 |
| Transport, week 2 | 3 | 41.80 |
| Total | 35 | 277.95 |
Date each line on the last day of its week, so it lands in the right part of the month. You lose the detail of each coffee. You keep what the month needs: roughly how much went where, and when.
Step 5: put cash in as one line
Cash leaves no record, so work it out backwards. Take what you withdrew, and subtract what is still in your wallet. Here, 80 came out and 12.50 is left, so 67.50 was spent.
Enter it as one line, "Cash, 2 weeks, 67.50". Put it in the category most of it went on, or in Other if you can't say. A guess at the category is fine. A missing 67.50 is not.
Step 6: check the total against your bank
Add up what you entered for the 2 weeks, and set it against what left your account.
| What you entered | Lines | Amount |
|---|---|---|
| Large payments, one each | 6 | 334.45 |
| Small payments, by week | 6 | 277.95 |
| Cash, net of the wallet | 1 | 67.50 |
| Total | 13 | 679.90 |
The bank shows 612.40 in card payments and 80 in withdrawals, 692.40 in all. The difference is 12.50, the cash still in your wallet. The record matches the bank.
If yours is out by more than a few percent, something is missing or in twice. Check the large payments line by line first. They are where a gap that size usually hides.
That is 13 lines for 2 weeks, instead of 41 and a guess at the cash.
If you share the budget
Tell the other person when you are done. Until then, the shared numbers are missing your 2 weeks, and they look better than they are. Hold any weekly check until the catch-up is in, so you are not both looking at a total you know is short.
What to do on Monday
- Pick one moment a day for entries from now on, such as the train home or after dinner.
- Keep receipts in one place, a wallet pocket or a tray by the door, until they are entered.
- Keep your line between large and small the same each time, so the next catch-up is just as quick.
- If a week slips, catch it up that weekend, with these same steps.
